How to Get the WhatsApp Business API (2026 Step-by-Step)

The API is no longer something you apply for and wait weeks to receive. Here is what you actually need, what it costs, and the steps in order.

The WhatsApp Business API is the official way for a business to send and receive WhatsApp messages through software rather than by typing on a phone. It is what makes a shared team inbox, automated replies and bulk campaigns possible, and it is a Meta product — not something any vendor owns or can grant you privately.

The old picture of the API — an application form, a sales call, a multi-week wait — is out of date. Since Meta opened the Cloud API and embedded signup, connecting a number takes minutes and you can do it yourself from inside a platform. This guide covers what you genuinely need, what it costs, the steps in order, and the requirements that catch people out.

What you need before you start

Four things. None of them cost money, and most businesses already have three.

The steps, in order

  1. Pick a platform first, not last. You connect the API through a provider, and that provider is what you will actually use every day. Trying to obtain "the API" on its own and shopping for software afterwards is the common wrong turn.
  2. Start the connection from inside your chosen platform. You are handed to Meta's own signup window.
  3. Log in with Facebook and select or create your Business account.
  4. Create or select a WhatsApp Business Account — the container that holds your numbers and your approved templates. One business account can hold several numbers.
  5. Add your phone number and verify it by SMS or voice call.
  6. Set your display name, which is what customers see above the conversation.
  7. Finish and return. The number appears in your inbox and can send and receive straight away.

Realistically this is ten to fifteen minutes if your Facebook Business account already exists, and perhaps an hour if you are creating one and hunting for business details. Verifying the number itself is usually instant.

What it costs

Two separate bills, and confusing them is the most common budgeting mistake.

Meta charges you for conversations. Pricing varies by the recipient's country and the message category, and Meta bills you directly through a payment method attached to your business account — see Meta's pricing documentation for current rates. No platform subscription includes these.

The requirements nobody mentions

Your display name is reviewed. It must relate to your actual business. Generic names ("Best Deals"), names you cannot show a claim to, and anything misleading get rejected. If your legal name differs from your trading name, be ready to show the connection.

The number leaves the consumer app. A number on the API stops working in the WhatsApp Business app on a phone. This is Meta's rule for every provider, and it surprises people who assumed they could run both.

Only the first two block you from sending. You can be answering customers within the hour and let display-name review and business verification complete in the background.

Two decisions to make before you connect

Which number. Using a brand-new number costs you nothing and risks nothing. Using your existing number keeps the continuity your customers already have, but it leaves the phone app permanently — see migrating your number for the sequence that avoids a gap.

Whether you need business verification now. You can connect and send without it, but it gates the higher messaging tiers. If you plan campaigns to more than 1,000 people, start it on day one because it takes 1–5 working days. If you are only answering customers, it can wait.

Cloud API or On-Premises?

You may see both mentioned. The Cloud API is hosted by Meta, carries no hosting cost, and is what essentially every new connection uses today. The On-Premises API was the older self-hosted option, and Meta has been retiring it.

For a merchant this is not a decision you need to make. If a provider is selling you On-Premises hosting as a premium feature in 2026, ask why.

What to do in your first hour

Connect the number, then resist building anything clever. Send yourself a test message. Submit one template — an order confirmation is the usual first — and watch how quickly it is approved. Set your business hours. Write one auto-reply for your most common question.
